The Honest Room
Conference rooms held by phantom meetings — the calendar said booked, nobody was actually in the room. Scenes didn't reset. Shades stayed drawn after the last person left. Phantom bookings made the real ones impossible to find.
We built room logic in Q-SYS that fuses three signals in real time: a motion sensor in the room, the Microsoft Teams active-call state via Graph API, and the Google Calendar event. When the calendar still shows a meeting active but Teams has hung up and the room is empty, the system waits two minutes, then resets the scene and releases the calendar hold automatically. When motion is detected before a meeting starts, the scene cues itself — lights, shades, displays — so the host walks into a room that already knows what is happening.
Rooms that hold themselves accountable. Bookings line up with reality. The 100-room deployment recovered an estimated ten percent of phantom-booked time per week across the building.
